Payroll Coordinator

SUMMARY
Ensure the accuracy of every payroll for assigned plants– including the accuracy of preliminary and final payroll reports, time sheets and payroll distribution, while assuring compliance with applicable state and federal regulations. Provide complete, accurate and timely payroll for 22 plants with employees located in 25 states.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Full responsibility for the accurate and timely processing of Bi-weekly payroll for assigned plants.
- Coordinate payroll processes, procedures, and record maintenance for all locations.
- Ensure payroll systems are updated to reflect approved employee compensation, including wages and benefits.
- Verify payroll related information to ensure accurate payroll distribution and deductions.
- Audit and confirm all timekeeping information submitted by plants.
- Ensure effective functioning and coordination of payroll activities and ensure compliance with established financial, legal and/or administrative requirements.
- Maintain payroll information, files and records in written and electronic formats to ensure up-to-date reference and audit trail for compliance, while maintaining complete confidentiality.
- Communicate with Plant Payroll & HR personnel, Employees and Management regarding accurate processing of all deductions including garnishments, other court ordered actions and benefits.
- Oversee/prepare a variety of payroll related documents (e.g., weekly, monthly, quarterly and year-
end reports, W-2s, Personnel Action Forms, etc.) to meet compliance and audit requirements.
- Monitor the processing of new hires, employee status changes, terminations and other employee processes for appropriate management approvals.
- Support other departments through Ad Hoc projects, data collection, reporting and analysis.
- Research discrepancies of payroll information or documentation.
- Maintain understanding of payroll issues at plants other than those assigned in order to provide strong back-up to rest of team.
- Coordinate all multi-state tax rates and issues with ADP.
- Responsible for maintenance and processing of timekeeping system(s).

COMPUTER SKILLS
Prefer experience with ADP PayForce, QuickView, iReports and ADPReporting. Possess intermediate knowledge of MS Office (Word, Excel, Power Point and Outlook). Internet/Intranet experience required.
LANGUAGE and INTERPERSONAL SKILLS
Must have the ability to read and interpret documents such as policy and procedure manuals, authorization documents, government regulations, etc. Requires strong written communication skills and the ability to write regular reports, correspondence and policies/procedures. Requires strong verbal communication skills (including over the telephone) and the ability to speak effectively before groups of employees. Requires an individual with a strong teamwork focus and customer service approach as well as exceptional organizational and time management skills and the ability to motivate non-reporting colleagues at remote locations.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as Net Pay, pay per pay period calculations, pro-rated wages and benefit accruals. Requires the ability to verify Garnishment and Tax Levy calculations based on State and Federal guidelines.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
EDUCATION and/or EXPERIENCE
Requires minimum three to five years related payroll experience (preferably in a multi-location, multi-state manufacturing environment - preferably utilizing ADP PayForce). Prefer Bachelor’s degree (BA/BS) in Management, Business or Accounting (or equivalent) from a four-year college - or equivalent combination of education and experience. Payroll certification is a plus.
